Australian businesses are excited about technology, but what is the real impact if data storage is not manage correctly?

When we consider data storage, there is the traditional method where hardcopies of documents are created and stored in file boxes or draws, or then, there is the digitized method, where data is stored on a disk, USB, hard drive, or then there is the cloud.

Generally, all people that use a computer understand what a disk, hard drive or a USB is and how they are used; but using a cloud is a totally different way of storage.

So what is cloud storage? Simply put, it is where you store data, such as a scanned document, in electronic format on a third party’s server, or in other words, a very big hard drive.

The term cloud is not a magical data file that sits in the sky!

There are many choices of cloud services in Australia, but the question that you should always be asking, is whether the data is actually stored in Australia, that means within the governing area of the Australian legal jurisdiction, or is that data sitting in another country such as Singapore or India as example.

The reason this question is very important, is because Australia has very strong laws to protect consumers, and if your data is not stored in Australia, but your business is operating there, you may find the business could face very severe penalties by the Australian government for any breach of the Australian Consumer Laws, as well as civil damages claims from the consumers directly.

So storing of client data offshore needs to have very careful consideration for the resulting consequences.

The next important consideration once you have decided on the cloud service provider, is the security level of that party, and does that cloud vendor (operator) actually have sufficient protocols in place to protect data on their servers. What happens is, once you order your cloud services, you get a piece of the pie, on which you can store data, just like a pie chart broken into many sections, unless you have a specific dedicated server equipment (hardware) that only holds your data, which in most cases for small to medium size businesses is not cost effective due to the maintenance and security requirements to maintain that server. Though ideally the best solution for a cloud service is an independent server that only manages your data and no other.

The third important consideration is how do you manage the data file sizes, which you will upload to the server. Just like the weight of your luggage when you travel, the heavier your weight in your bag is, the harder it is to lift up, down and transport. This same analogy applies to your data. Presently data file sizes are not usually considered by the end user when uploading to a cloud, and large file sizes will eventually cause a catalyst of problems in the future of the management of data.

So when you think cloud, consider storage location, security and data files sizes.

クラウドサービスのプロバイダーを決める場合に次に考慮するべき重要なことは、その会社のセキュリティーレベルと、クラウドベンダー (オペレーター) が本当にそのデータを保管するサーバーに適切なプロトコルを施しているかという点です。クラウドサービスを依頼するというのは、ちょうど円グラフが多くのセクションに分かれているように、パイの一欠片を手に入れるようなものなのです。それは、自分たちのデータだけを保管する専用のサーバー設備 (ハードウェア) を持つこととは違います。専用のサーバーは多くの中小企業にとっては維持や、安全のために必要なメインテナンスのコストと比較して効率的とは言えないのが現実です。その上でも、クラウドサービスの最も理想的な利用法は、自分たちのデータだけを管理する専用のサーバーを持つことです。
